Welcome to Part 3 of my series on mastering lead capture with 17hats! By now, you should have your lead capture form set up and ready to go. If you missed Part 2 of this series on setting up a lead capture form in 17hats, you can read that post here. But what about those leads coming from third-party platforms like The Knot, WeddingWire, and Showit?
These platforms are key lead generators for many small businesses, especially those in the wedding and creative industries, but they don’t always integrate seamlessly with your existing CRM system. Fortunately, 17hats is here to help with the Lead Capture Email feature! In this post, I’ll show you how to collect leads from these third-party providers and turn them into actionable inquiries inside 17hats.
Side note on Showit: I have a Showit site and have my lead capture form embedded on it, but if you’re currently using Showit form and don’t want to change for some reason (I would highly recommend changing btw), this method will be an option for you.
Ok, let’s dig into the step-by-step process of using 17hats Lead Capture Email to handle third-party leads and automate your responses!
Third-party platforms like The Knot and WeddingWire are popular choices for couples and clients searching for professionals. The only problem? These platforms don’t always connect directly with your CRM system, meaning you might be wasting precious time manually entering leads or missing out on key follow-ups.
Here’s the good news: with 17hats Lead Capture Email, you can route incoming leads from these platforms directly into your 17hats system. While these leads won’t automatically connect to workflows like leads captured through your own forms, you can still use the feature to send automatic email responses and start managing them within 17hats right away.
To start collecting and responding to leads from The Knot, WeddingWire, and Showit, follow these steps:
Check the settings with the third-party vendor (The Knot, WeddingWire, Showit) to confirm the email address they are sending leads to. You will need to connect this email address to your 17hats account if it’s not already.
If the email isn’t already set up in 17hats, here’s how to do it:
Like lead capture forms, 17hats Lead Capture Emails allow you to send automatic email replies. To set this up:
Here’s how to set it up:
Once the Lead Capture Email is set up, these third party leads will automatically be imported into your 17hats system every time you receive a lead through these platforms. Going forward, every Wedding Wire, The Knot, and Showit lead will receive your Auto Response Email and appear in your Leads Dashboard in 17hats. From there, you can respond to inquiries directly, organize leads, and take action to convert them into clients.
While these leads won’t be automatically connected to workflows, 17hats gives you plenty of tools to manage your leads efficiently—from scheduling follow-ups to sending quotes and contracts. And, if you include a Call to Action (CTA) like scheduling a phone call or a link to a Lead Capture Form in your auto response email, you can trigger a workflow from that action, and take full advantage of workflows, just as you would by using a lead capture form. Of course, your lead will have to take that initial action of scheduling the call or completing the form, so you’ll still want to keep an eye on your leads dashboard and follow up if they don’t take action right away. You can do that follow-up manually, or you could manually add a follow-up workflow to these leads as they come in, just like you would with your lead capture form. In fact, it can even be the same workflow – you’ll just have to manually start it instead of it happening automatically. If you have any questions about how to do this, don’t hesitate to reach out.
